Te āheinga / The opportunity

We have a fantastic opportunity for an experienced Personal Administrator to join our Community Resilience team, providing high-level, professional and confidential support to the Group Manager and wider team. Acting as a trusted conduit between leadership, staff and elected members, you will play a pivotal role in managing priorities, coordinating workflows, and ensuring the smooth running of a dynamic and purpose-driven group. You’ll use your initiative and sound judgement to anticipate needs, triage communications, and keep key actions on track in a fast-paced environment.

You will bring a proactive, adaptable approach and be comfortable managing a wide range of responsibilities from diary and workflow coordination through to supporting council and committee processes. A key focus of the role will be providing end-to-end support for council and working party meetings, including coordination, agenda preparation, minute taking and drafting correspondence. Alongside this, you’ll help manage group-wide administrative processes, and contribute to financial administration, all while identifying opportunities to improve systems and ways of working.

Success in this role relies on building strong relationships and a collaborative mindset. You will work closely with managers across the organisation and build trusted connections with elected members, enabling you to anticipate and respond to needs with confidence. He kōrero mōu / About you

We are looking for someone with exceptional communication skills who is proactive, customer-focused, and adaptable. With a strong sense of organisation and a service-driven approach, you’re able to manage competing priorities with ease and deliver consistently high-quality support in a fast-paced environment. In addition, you will bring the following:

  • A minimum of three years’ experience in a high level administrative, personal assistant and/or executive assistant role. 
  • Preparation of meeting agendas and minute taking.  
  • A high level of professionalism, integrity and discretion, particularly around sensitive information.   
  • Expert proficiency with Microsoft 365 and technically savvy.   
  • A working knowledge of Te Tiriti O Waitangi 
  • Understanding of relevant local government legislation and experience working in a local government environment is desirable.
